Privacy & FERPA

This page explains what data Okula Haven handles and, importantly, what it does not. We describe our FERPA posture accurately rather than making blanket claims.

What Okula is — and isn't

Okula Haven is a website and communications platform for school districts: public and staff-facing sites, board governance and agendas, the policy manual, job postings, and the staff intranet. It is not a student information system (SIS). Okula does not store student grades, attendance, health records, IEPs, or other student education records, and it does not integrate an SIS to ingest them.

Our FERPA posture

The Family Educational Rights and Privacy Act (FERPA) governs personally identifiable information in student education records. Because Okula is designed to host district web content and does not collect or process student education records, it is not intended to be a repository of FERPA-protected data. Districts should not post student education records to public pages, and our content model and guidance are built around that expectation. Where a district designates us to handle limited information on its behalf, we will do so under a written agreement consistent with the district's obligations.

Information we do handle

  • District staff accounts:names, work email addresses, and roles for the people who administer a district's sites.
  • Content districts publish: pages, board materials, policies, and job postings authored by district staff.
  • Job applications and demo requests: information people voluntarily submit through forms — used only to process the application or arrange the demo.
  • Basic operational logs: the minimal request and error logs needed to keep the service running securely.

How we use it

We use this information only to provide and secure the service. We do not sell personal information, and we do not use it for advertising. We retain it for as long as a district maintains its account or as required to meet legal obligations, and we delete or return it on request in line with our agreement with the district.
